Terms of Service
This version replaces version 1.0 dated 26 May 2026, which was published inside the app during the pilot.
1. Who these terms are between
These terms are an agreement between:
Arthace, 1109, International Wealth Centre, Vesu, Surat, Gujarat, India – 395007 ("Arthace", "we", "us"), and
you — the business that creates an Arthace account ("you", "your", "the customer").

By creating an account, starting a free trial, or paying for a plan, you accept these terms and our Privacy Policy and Cancellation Policy.
2. Who can use Arthace
- Arthace is sold to businesses, for business use. It is not a consumer product.
- You must be at least 18 years old and legally able to enter into a contract.
- If you are signing up for a company, firm or LLP, you confirm you are authorised to accept these terms on its behalf.
- You must give accurate signup and billing details and keep them up to date.
3. What Arthace is — and what it is not
Arthace is accounting software: you record sales, purchases, payments, receipts, stock, job work, GST and TDS information, and Arthace prepares entries, reconciliations, reports and returns data from what you give it.
Arthace is a tool. It is not your accountant.
- We do not provide accounting, taxation, legal or financial advice, and nothing in the product or on our website is advice.
- You and your chartered accountant remain responsible for the correctness of your books, for what you file, and for meeting your statutory deadlines.
- AI features read documents and answer questions to save you typing. Everything is shown to you before it is saved, and nothing is posted to your books until you approve it. You are responsible for checking what you approve.
- We do not guarantee that an AI reading of a document is complete or correct, and you should not treat it as if it were.
4. Your account, your users, your security
- Your subscription covers a set number of users and companies — see section 5. Extra users or companies mean moving to a plan that includes them.
- You are responsible for everything done under your account, including by the staff and advisers you invite.
- Keep your password and two-factor recovery codes private. Tell us immediately, at arthaceindia@gmail.com or on 79841 67514, if you think someone else has access.
- We will never ask you for your password, by email, phone or WhatsApp. If someone appears to, it is not us.
- Each business gets its own isolated workspace. Do not attempt to reach data outside it.
5. Plans, prices and what is included
All prices are in Indian Rupees and exclude GST. GST at 18% is added at checkout. Our service is classified under SAC 998315.

Yearly plans are billed once and work out to roughly two months free.
Features by plan. Photo accounting (AI scan), Ask Arthace and Insights, GST Suite, TDS on payments, sales/purchase/inventory, barcode labels and free Excel/CSV/typed entry are on every plan. WhatsApp + Voice accounting, E-Commerce, job work, TDS/TCS returns, manufacturing/BOM, cost centres and AI bank reconciliation start at the Team plan. Priority support and assisted onboarding start at the Business plan. Solo includes manual bank reconciliation.
Enterprise is quoted for each customer and is not bought online. Enterprise engagements may be governed by a separate written agreement, which prevails over these terms where it differs.
Plan limits, allowances and inclusions can change. If a change affects a plan you are already on, we will tell you before it applies to you.
6. AI scan credits and the WhatsApp + voice meter
Arthace runs two meters. They are separate and do not substitute for each other.
AI scan credits — the rule is: a document page costs 1 credit; data you already have as a spreadsheet or a typed entry is free.

Before a large upload, Arthace shows how many credits a multi-page document will use and waits for you to confirm. Pages we cannot read are never charged.

Returning a credit to your meter is not a refund of money. Credits and units have no cash value and are not exchangeable for money.
7. Top-up packs
Only needed if you go past what your plan already includes.

WhatsApp + voice units: 2,000 for ₹999 · 5,000 for ₹2,249 · 10,000 for ₹3,999
All top-ups exclude GST and are valid for 6 months from purchase. Top-ups are a one-time purchase, do not auto-renew, and are non-refundable — see the Cancellation Policy.
8. Free trial
- The trial runs for 14 days.
- It includes 20 AI scan credits, 100 WhatsApp + voice units, a limit of 10 pages per document, and the Team-equivalent feature set.
- Top-ups cannot be bought during the trial.
- The trial allowances are deliberately small — enough to test Arthace properly on your own documents, not the same as a paid Team plan.
- Nothing is charged during the trial. To carry on after 14 days, choose a plan.
- If you do not choose a plan, your account stops being usable for day-to-day work. You can still sign in to export your data and to subscribe.
- The trial is the way to find out whether Arthace suits your business before you pay. Please use it for that. Once you pay, fees are non-refundable — see section 11 and the Cancellation Policy.
9. Billing, payment and renewal
How you pay. Online payments — card, UPI and netbanking — are processed by our payment gateway, Razorpay. We never see or store your card or bank credentials.
Monthly plans renew automatically. When you buy a monthly plan you authorise us to collect the same amount, plus GST, at the start of each new month until you cancel. We tell you before we collect, and you can cancel at any time (section 11).
Yearly plans are a one-time payment. A yearly plan does not auto-renew. We send you renewal reminders before it expires, and you choose whether to renew. Your data and access continue untouched to the last day of the year you paid for.
Invoices. We raise a GST tax invoice for every payment, using the billing name, address, state and GSTIN you gave us. Keep those details correct — an invoice raised against wrong details cannot always be corrected later, and any input tax credit you lose because of wrong details is not something we can recover for you.
Price changes. We may change prices. A change never affects a term you have already paid for. For monthly plans we give you notice before the new price applies, so that you can cancel before it is collected if you do not want to continue.
Taxes. All prices exclude GST. If any withholding tax applies to your payment, the amount payable to us is grossed up so that we receive the full listed fee.
10. If a payment does not go through
Your account does not switch off the moment a payment fails. What happens is:
- First 3 days — full access. Everything keeps working while you sort the payment out. We tell you what happened.
- Then — read-only. You can still sign in, see everything, export all your data, and pay. You cannot create new entries.
- If the grace period ends without payment — day-to-day operations are switched off.
Paying and exporting your data are never blocked at any stage. How long the grace period runs depends on your plan (Solo 3 days · Team 7 days · Business and above 14 days).
If your account is switched off for non-payment, your data is not deleted immediately. Section 13 explains what happens to it.
11. Cancellation and refunds
There are no refunds. Fees already paid are not refundable, in whole or in part, including for a period you have paid for but not used.
You may cancel at any time. Cancelling stops future renewals; it does not end your current paid term, and you keep access until that term ends.
The 14-day free trial exists precisely so that you can evaluate Arthace before you pay anything.

12. Acceptable use
You must not:
- Use Arthace for fraudulent or illegal accounting — fake invoices, parallel sets of books, or records intended to mislead a tax or regulatory authority.
- Use it to harass, defraud or harm anyone.
- Attempt to access another customer's data, or any part of the system you have not been given access to.
- Reverse-engineer, decompile, copy or resell the software, or use it to build a competing product.
- Scrape the service, run automated bulk requests, or work around rate limits, credit meters or plan limits.
- Share one login between several people, or resell or sublicense your access.
- Upload malware, or anything unlawful.
- Overload or interfere with the service or the infrastructure it runs on.
We may suspend or close any account that breaks these rules. For serious breaches, suspension is immediate. Fees already paid are not refunded in that case.
13. Your data
- Your accounting data is yours. We do not sell it, do not share it with advertisers, and share it only with the providers listed in our Privacy Policy.
- You can export a copy of your data at any time from Settings → Backup & Restore. Export is never blocked, including during a grace period.
- You can close your account at any time from Settings → Account → Close business account. After closure you have 30 days to sign back in and export. After that you cannot sign in.
- To have your data deleted after closure, write to our Grievance Officer (see the Privacy Policy). We will delete it after verifying who you are, except for records Indian tax, GST and company law require to be kept for a minimum period.
- You are responsible for keeping your own copies of anything you need for statutory record-keeping. Do not rely on Arthace as your only record.
14. Our intellectual property
The Arthace software, its interface, its name, logo and branding, and everything we produce around it, belong to us. Your subscription gives you a limited, non-exclusive, non-transferable right to use the service while your plan is active, for your own business. It gives you no ownership of the software and no right to copy or resell it.
If you send us feedback or a feature idea, we may use it freely and without obligation to you.
15. Confidentiality
We treat your business information as confidential and use it only to run the service for you. Our staff have restricted, logged access. You must likewise not disclose non-public information about the service — such as pricing you were quoted privately, or pre-release features — to anyone who would use it against us.
16. Availability, support and changes to the service
We work hard to keep Arthace running, but we do not promise uninterrupted or error-free service and we do not offer a contractual uptime guarantee. Maintenance, upgrades, provider outages and events outside our control can interrupt the service.
We may add, change or withdraw features. If a change materially affects the way you use the product, we will tell you in advance.
Support is provided by phone, WhatsApp and email during our working hours (see Contact). Priority support and assisted onboarding are included from the Business plan.
Some parts of Arthace depend on third-party services — the payment gateway, WhatsApp, AI providers, email delivery, cloud hosting. If one of those is down or changes its terms, the connected feature may be interrupted or may change. We are not responsible for those providers' own services.
17. Warranties and limitation of liability
The service is provided "as is" and "as available". To the extent Indian law allows, we exclude all implied warranties, including fitness for a particular purpose.
To the extent Indian law allows:
- Our total liability to you — for everything, however it arises, under or in connection with these terms — is limited to the fees you actually paid us in the twelve months before the claim arose.
- We are not liable for indirect or consequential loss: loss of profit, loss of goodwill, loss of business or business opportunity, loss of anticipated savings, or any penalty, interest or demand raised on you by a tax or regulatory authority.
- We are not liable for loss caused by data you entered or approved incorrectly, by a filing you made, by your failure to keep your own records, or by someone using your account because your credentials were not kept safe.
Nothing here limits liability that cannot lawfully be limited.
18. Indemnity
You will indemnify us against claims, losses and reasonable costs arising from your use of Arthace in breach of these terms or of the law, and from any claim by a third party about data you put into Arthace that you were not entitled to put there.
19. Suspension and termination
You can leave at any time by cancelling and closing your account (sections 11 and 13).
We can suspend or terminate your account if you break these terms, do not pay, or use the service unlawfully. Except for serious breaches, we will tell you by email first and, where it is reasonable, give you a chance to put it right.
On termination, your right to use the service ends. Sections that are meant to survive — your data rights, confidentiality, our intellectual property, limitation of liability, indemnity, and governing law — continue to apply.
20. Events outside our control
We are not liable for failure or delay caused by events beyond our reasonable control — including internet or power failure, failure of a third-party provider, government or regulatory action, natural disaster, epidemic, war or civil disturbance.
21. Governing law and jurisdiction
These terms are governed by the laws of India. The courts at Surat, Gujarat have exclusive jurisdiction over any dispute arising out of or connected with them.
Before going to court, please raise the matter with us first — most problems are quicker to fix that way.
22. Notices
We will send notices to the email address on your account, or show them inside the product. It is your responsibility to keep that address current. You can send notices to us at arthaceindia@gmail.com or by post to the address in section 1.
23. General
- If any part of these terms is held to be unenforceable, the rest continues to apply.
- If we do not enforce a right straight away, we do not lose it.
- You may not transfer your rights under these terms without our written consent. We may transfer ours as part of a sale or reorganisation of the business.
- These terms, with the Privacy Policy and the Cancellation Policy, are the whole agreement between us about the service, and replace any earlier version — including version 1.0 dated 26 May 2026.
24. Changes to these terms
If we materially change these terms, we will email you and publish the new version here with a new version number and date. The version you accepted is recorded against your account. Continuing to use Arthace after a change means you accept the updated terms.
